Personal Data Protection Policy at DHG Pharma

Duoc Hau Giang respects and commits to handle personal data carefully in accordance with the Laws and regulations. To ensure the security of information of customers, partners and employees, DHG Pharma will protect personal data as the following contents:
I. Processing and managing personal data organization/unit
DHG Pharmaceutical Joint – Stock Company is the host unit refferred to as Company or Duoc Hau Giang or DHG Pharma.
Receiving personal data sharing organization/unit
- a. DHG Pharma’s dependent units: Including branches, representative offices, and business registration locations.
- b. Taisho: Taisho Pharmaceutical Co., Ltd. and Subsidiaries of Taisho Pharmaceutical Co., Ltd.
- c. Partners: Partners providing products/services/consulting of DHG and Taisho, signing a confidentiality agreement for each supply.
II. Purpose of using personal data
- Personal data of the company's customers such as pharmacy owners, drug stores; doctors, pharmacists and medical professionals data related to the following purposes:
- a. (i) Transactions involving products of company; (ii) provision, gathering, use and management of information relating to product quality, safety and efficacy, information relating to their appropriate use, selling price information and (iii) selling method, management method and market information and notification or reporting of such information to research groups, seminar groups.
- b. Requests for clinical trials or post-marketing safety management/ surveillance and the implementation, use or management thereof.
- c. Provision, gathering, use or management of information about fields such as medicine and pharmacology and other scientific information.
- d. Notifications, reports to Government and other State agencies according to the Laws.
- a. (i) Transactions involving products of company; (ii) provision, gathering, use and management of information relating to product quality, safety and efficacy, information relating to their appropriate use, selling price information and (iii) selling method, management method and market information and notification or reporting of such information to research groups, seminar groups.
- Personal data of individuals who contact the Company through the Company's official communication channels such as the Company's phone number, product quality reporting system and e-commerce platforms such as website, social networks as well as other contact points of the Company are collected and processed to support management and problem handling activities described as purposes below:
- a. For inquiries, investigations, reports, use and management in relation to interviews, consultations, surveys, reviews or contact received.
- b. Contact with, supply to, use and management of manufacturers, importers/processors/suppliers/distributors/sellers, medical professionals, customers and others in relation to the quality, safety and efficacy of the products of companies.
- c. Notifications and reports to Government and State agencies according to the Laws and other relevant organizations about the quality, safety and efficacy of the products of subsidiaries and associates.
- a. For inquiries, investigations, reports, use and management in relation to interviews, consultations, surveys, reviews or contact received.
- Personal data related to surveys and market research of those who response to market research campaigns and other questionnaire surveys conducted by the Company for management and support in relation to operations such as inquiries, investigations, reports, management and provision of benefits, market research and other survey and research activities from time to time.
- Personal data on the e-commerce platform operated by DHG Pharma to manage and support the Company's sales activities includes:
- a. Confirmation of orders and dispatch of products
- b. After-sales service in relation to products
- c. Dispatch of product catalogues and direct mail, and announcements about new products and services
- d. Requests for cooperation with questionnaire surveys
- e. Gathering information and making contact about the quality, safety and efficacy of products and reporting such information to the government and other public agencies, medical organizations and others
- f. For customer and consumer data such as full name, phone number, email address, order address managed by third-party e-commerce platforms such as Shopee, Tiki, Lazada, Tiktok and other similar websites, DHG will comply and follow the customer data security policy on those e-commerce platforms.

- Personal data of shareholders is collected pursuant to Laws to:
- a. For implement of rights and fulfilment of duties according to the Laws as well as for the provision of benefits to shareholders.
- b. To implement various measures to build good relationships with shareholders and to manage shareholders.
- Personal data of Company employees serves for following operations:
- a. Management and use for work, career changes, payroll, personnel affairs, evaluation, skills development, meetings, training, guidance, employees’ welfare benefits, health and safety and execution of other business.
- b. Meetings and contact with labor unions, health insurance associations, and other partners or training and management in relation thereto.
- c. Registrations and reports to the Government and State agencies according to the Laws.
- a. Management and use for work, career changes, payroll, personnel affairs, evaluation, skills development, meetings, training, guidance, employees’ welfare benefits, health and safety and execution of other business.

- DHG Pharma’s dependent units and partners in order to achieve the purposes described in II. 1
- Share with Taisho for Management reporting of company to (i) serve the implementation of the Drug Side Effects Assessment Report through accumulating information on drug side effects; (ii) Serve pharmacy customer management to understand and manage receivables, sales, and banking transaction activities; (iii) Serve the group's risk management; (iv) Serve corporate governance and compliance consulting.

Personal data of Company employees and Branches/Subsidiaries employees includes (i) Full name, gender, date of birth, address, phone number, employee code, department, job duties or sales area, position, internal email address, mobile phone number, internal joining date, date of leaving from the company, required family member information, bank account information, insurance, and health information from periodic health examinations (ii) salary level and (iii) job performance evaluation.

6.3. Purpose of use:

Subject (1): for the purposes of management and use for employment, career changes, compensation, staffing, evaluation, skills development, meetings, training, instructing, welfare, health and safety of employees, and conducting other business activities.
Subject (2): nhằm Báo cáo quản trị về Taisho nhằm (i) to submit a government report to Taisho for the aim of managing the information technology workforce and assigning these employees to the relevant IT groups.; (ii) Analyze trends in personnel fluctuations, oversee human resource and salary budget, and foster human resource development.
Subject (3): for making payments, analyzing and requesting, transferring data and information, managing and using for meetings, training, providing employee benefits, maintaining health and safety, and carrying out other business activities.
Subject (4): for the purpose of managing and utilizing staff health, safety, and welfare.
